What Pharmaceutical Buyers Need Before Placing an Export Order
A comprehensive checklist of specifications, regulatory dossiers, packaging requirements, commercial terms, and logistics required before finalizing international supply contracts.
A pharmaceutical export order usually requires more information than a simple product name and quantity. Before manufacturing or supply arrangements begin, buyers and suppliers need to align on product specifications, target market, packaging, documentation, commercial requirements, and logistics. Preparing this information early makes the inquiry process much more efficient.
1. Product Requirement
The first step is to clearly define the required product. Provide information such as product name, active ingredient, strength, dosage form, pack size, and required quantity. If you have a specific formulation or reference product, share its details where appropriate.
2. Target Market
The destination country is extremely important. Regulatory and packaging requirements can differ between markets. The buyer should identify the country, regulatory authority where applicable, intended market, registration status, and import requirements.
3. Packaging Requirements
Specify the desired packaging format, for example: Alu-Alu blister, PVC/PVDC blister, aluminium strip, HDPE bottle, glass bottle, sachet, or carton. Also specify the desired quantity per pack.
4. Regulatory Documentation
Depending on the market and product, buyers may require various documents: Certificate of Analysis (COA), product specifications, manufacturing information, stability information, certificates related to the manufacturing site, product information, regulatory dossier documentation, and export-related documents.
5. Commercial Requirements
A clear commercial requirement should include estimated order quantity, required MOQ, target price where applicable, preferred delivery timeline, packaging requirement, payment expectations, and shipping destination. This helps suppliers evaluate the inquiry accurately.
6. Private Label Requirements
For private-label products, clarify brand name, artwork, pack design, language requirements, regulatory labelling, and registration holder information. Artwork should generally be finalized only after confirming applicable regulatory and packaging requirements.
7. Samples & Logistics
For certain projects, samples may be required before commercial production (product samples, packaging samples, reference samples, or artwork proofs). Availability depends on the product and manufacturing arrangement.
Export planning should consider destination port/airport, shipping method, required temperature conditions, packaging requirements, export documentation, and delivery timeline.
